The Highlands Center for Natural History is a community supported, 501 3(c) non-profit, nature Center operated in partnership with Prescott National Forest

Summary

JOB TITLE: Director of Operations   

Location: Highlands Center for Natural History, Prescott Arizona (HCNH)

Reports To: Executive Director (CEO)

Salary: Full time position: Salary range $45,000 to $47,000 yr. plus limited benefits

RESPONSIBILTIES:

Under the direction of the Executive Director the Director of Operations focuses on event coordination, rental group management, property oversight, nature store operations and business management. The position interacts with all aspects of the Highlands Center—Executive Director, staff, board, members, committees, volunteers, and community organizations. It is critical that the successful candidate fully embraces and respects the mission of the Highlands Center for Natural History (HCNH). The Director of Operations works in following area of responsibilities:

Administrative Duties

  • Oversees daily operations of Center in partnership with Director of Education and Director of Facilities
  • Serve as Acting Director in absence of the Executive Director in partnership with Director of Education and Director of Facilities
  • Oversee the work of the Data Base/Volunteer Coordinator
  • Learn and oversee the management of the Member/Donor and Volunteer data bases
  • Oversee document management, retention and destruction. 
  • Oversee the inventory and ordering of office supplies
  • Oversee the sign out/ tracking system for all staff and volunteer facility keys

Technology Oversight and Support

  • Oversee the daily maintenance of  the HCNH website, staff email accounts and the general organizational email account   
  • Work with Volunteer Technology  Coordinator to understand, manage and trouble shoot the Center’s Server and computer network 
  • Oversee usage of tablets  for remote payment for Special Events    
  • Assist Marketing Coordinator with social media posts
  • Oversee and direct updates to phone system

Event Coordination

  • Serve as a staff liaison with the Executive Director on the Wander the Wild Committee
  • Work with the Shakespeare in the Pines Committee to plan and implement the event
  • Serve as a staff liaison with the Executive Director on the Plein Air Art  Committee
  • Assist Education staff with bi-annual Grow Native Plant Sale
  • Oversee the management of annual Holiday Bazaar
  • Work with the Executive Director and Development Committee to schedule, plan and execute donor recognition events
  • Assist with design and implementation of other Community Outreach Events

Rental Group Management

  • Manage the rental usage of the Center including bookings, contracts, deposits, payments, insurance requirements, and keeping the calendar.
  • Oversee the coverage of rental groups including hosting, set up, take down and janitorial services. Coordinate hosting duties with other staff  if unable to provide coverage
  • Oversee the usage of the Google facility calendar 
  • Work with Marketing Coordinator to promote the Center for rental opportunities including corporate retreats, weddings and life events.

Nature Store

  • Oversee operations of the nature store ensuring smooth operations including ordering stock, setting prices, tracking and adjusting inventory, and managing loss prevention 
  • Work with Volunteer Coordinator to train and staff the store and office with volunteer hosts and administrative assistants to ensure all tasks get completed  

Other Duties

  • Participate in staff meetings
  • Assist with Special Events
  • Perform other tasks as indentified by Executive Director

.Qualifications and Skills

  • BS or BA  in Business Administration , Environmental Science  Nonprofit Management, or related field
  • Three years of administrative experience in a nonprofit setting or comparable field   
  • Strong technology skills including website, database and social media  management
  • Ability to trouble shoot, learn and manage internal server networks and online software   
  • Familiarity with QuickBooks, Intuit, Point of Sale, Microsoft Word and Excel software
  • Strong organizational skills
  • Must have  a demonstrated commitment to the mission of the Highlands Center
  • Excellent communication skills, both verbal and written
  • Good problem solving  and customer service skills
  • Skills in establishing priorities and managing workload
  • Ability to work in a team environment as well as operate independently
  • Ability to multi-task and keep track of multiple projects in the midst of regular interruptions
  • Knowledge of and /or willingness to learn the Natural History of the Central Arizona Highlands a plus

Job Specifications

  • The individual must be able to perform the essential functions of the job satisfactorily as outlined in this job description.  Where necessary for a qualified individual with a disability to perform the essential functions of the job, reasonable accommodations will be provided.  While performing the duties of this job the employee is often exposed to outside weather conditions while walking between various campus buildings and hiking on trails for up to two hours.  The noise level in the office environment is moderate.  Employees may be regularly required to stay stationary in an office environment.
  • The employee must be able to participate in two way or multi dimensional communication with multiple people
  • The employee is occasionally required to lift up to forty (40) pounds and be able move and set up tables and chairs
  • This position requires significant amounts of keyboarding due to database management and organizational correspondence
  • This position requires moderate amounts of time on the telephone
  • Ability to use computer, fax machine, laminator, postage machine, copiers and telephone.
  • Employee must have a valid driver’s license 
  • All employees of Highlands Center for Natural History must be fingerprinted for a background check in the state of Arizona
