Summary
JOB SUMMARY: The Upham Woods Facility and Operations Manager develops, coordinates, and implements strategies and objectives for buildings, equipment, and grounds operations at Upham Woods Outdoor Learning Center to meet the needs of the university, its employees, and user groups. Upham Woods is a residential outdoor learning center within the UW-Madison, Division of Extension, and provides hands-on, field-based, educational opportunities to youth, youth leaders, and adults through programs focused on environmental leadership education. The Center, officially accredited through the American Camping Association (ACA), consists of 14 buildings, including a new welcome center, a raptor enclosure, and provides seasonal and year-round lodging for visitors. The Center sits on the Wisconsin River with over 300 acres of forested land, including a 210-acre island, which is designated as a state natural area.
The Facility and Operations Manager will join a highly collaborative team of educators who support each other's work in the management, operation, and educational programming of Upham Woods. The team emphasizes developing positive and productive workplace relationships to support and maintain effective internal and external partnerships with the UW-Madison, Division of Extension. The position reports to the Center Director and works closely with the Director and Administrative and Financial Assistant Director to identify and prioritize facility and grounds improvements and maintenance. This position also supervises the Building & Grounds Supervisor, seasonal custodial teams, and maintenance staff; serves as the lead coordinator with external contractors, risk management, and university facility contacts; and coordinates land management and conservation volunteers to support the Center's mission and strategic priorities.
The Facility and Operations Manager fulfills a critical role of overseeing the operations of buildings, maintenance, technology needs, nature center/animal care, land management objectives, and equipment operations, including on-site vehicles and boats at Upham Woods. This position coordinates with the Director and Administrative and Financial Assistant Director for all work matters including recruitment, hiring, training, and performance management of operations staff; budget development; policy development and implementation; donor development campaigns; and long-term facility planning. This position shares responsibility as emergency on-call and on an as-needed basis for evening and weekend programming, flexing work hours during the typical work week (M-F) to accommodate evening or weekend hours. The successful candidate must hold a valid driver's license to drive university fleet vehicles.
RESPONSIBILITIES: Plans and oversees building and grounds operations to meet the needs of the university, its employees, and visitors.
15% Implements and evaluates existing strategies and objectives for building and grounds operations and makes recommendations to unit leadership for program or function enhancement
10% Identifies, proposes, and implements new or revised unit operational policies and procedures
20% Directs day-to-day operations of the unit to provide technical advice, problem solving assistance, and unit goals and policy interpretation
10% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
10% Prepares periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
10% Monitors the unit budget and approves unit expenditures
10% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
5% Develops and implements land management priorities including forest management and trail development/construction/maintenance
5% Identifies and leverages internal and external sources of funding to implement facility upgrades towards energy efficiency and renewable technologies
5% Seek professional development opportunities in areas that may include: boater safety; challenge course construction, maintenance, facilitation, medical and water safety training; top rope anchor & shooting sports certification; and chainsaw safety.
