The Highlands Nature Sanctuary, Inc. (dba Arc of Appalachia Preserve System, "the Arc") is a non-profit organization that preserves land in Ohio and provides opportunities for the public to engage with the natural world. We seek a dynamic leader with proven organizational skills to serve as our Assistant Office Manager. In this position, you will have the important role of being the first point of contact for new and returning visitors to our lodges, public preserves, and hiking trails.

Summary

(dba Arc of Appalachia Preserve System, "the Arc") is a non-profit organization that preserves land in Ohio and provides opportunities for the public to engage with the natural world. We seek a dynamic leader with proven organizational skills to serve as our Assistant Office Manager. In this position, you will have the important role of being the first point of contact for new and returning visitors to our lodges, public preserves, and hiking trails. 

Duties and Responsibilities:

  • Visitor Services and Public Information
  • Coordinating with other staff members to ensure that the Appalachian Forest Museum is opened and staffed every day, March 15 through November 15, and securely closed at the end of the day;
  • Orienting guests to the Highlands Nature Sanctuary’s trails and the Appalachian Forest Museum;
  • Oversee the Volunteer Museum Host program;
  • Updating and creating lodging guest books and announcements.
  • Providing information and answering questions about the Arc of Appalachia Preserve System as an organization in its entirety;
  • Answering phone and emails, during and after office hours, as appropriate;
  • Answering questions about lodging, and taking overnight facility registrations;
  • Communicating lodging guest questions, concerns, comments, and suggestions to housekeeping staff and Facility Manager;
  • Explaining and enforcing rules and regulations to ensure visitor safety;
  • Distributing membership packets and collecting donations;
  • Ensuring an overall quality experience for visitors at all of the Arc’s public preserves by reporting concerns or suggestions to other staff members who oversee their management;
  • Answering questions and providing in-depth knowledge about all of the Arc’s public preserves and hiking trails;
  • Keeping daily attendance and input data at the end of the day;
  • Keeping the work area and Appalachian Forest Museum clean and organized.

Office Administration

  • Assisting in preparing weekly deposit for Arc of Appalachia/Highlands Nature Sanctuary;
  • Overseeing the entry and updating of the donor management software;
  • Preparing and sending Thank You letters to Donors;
  • Assisting with event registration;
  • Keeping membership packets and letters up to date and stocked;
  • Assisting with housekeeper scheduling
  • Education Courses, Workshops, and Special Events
  •  Assisting with implementation and coordination of calendar of events;
  • Organizing, as assigned, the registration, promotion, food services, lodging, program content, speaker and volunteer recruitment and training, thank you letters, payments, and all other details involved in sponsoring and organizing programs.

 

Website and Social Media Administration

  • Assisting with webpage design and content management;
  • Maintaining and monitoring Arc social media outlets, including Facebook and Twitter;
  • Working with other staff members to provide appropriate and engaging content on social media and on the website;

Qualifications:

  • An appreciation for the natural world
  • Detail-oriented and proficient in complicated office work
  • Proficiency with computers
  • Experience with Microsoft Office applications, especially Excel
  • Experience with Adobe Suite design software
  • Familiarity with social media programs
  • Strong communication skills, both written and verbal
  • Friendly, flexible, and comfortable working independently as well as on a team
  • Able to solve problems calmly and efficiently
  • Must work weekends during our open season
  • Valid driver’s license and reliable transportation
